General Scope and Purpose of Position

We are currently looking for an organized, technical leader to join our team as a Head of Facilities on a Full-Time Basis. The chosen individual must ensure that the physical environment, including premises, facilities, health and safety, and office space, supports employee performance and customer service. Additionally, the post-holder ensures that facilities management services meet operational and compliance needs, while also identifying opportunities to reduce waste and improve efficiency.

Duties & responsibilities

  • Foresee that the running of these facilities is done effectively and at the lowest cost possible, if these conform to the safety standards expected.
  • Ensure that all internal requests are seen to within agreed SLA.
  • Report and correct any waste which he/she gets aware of from time to time.
  • Promote the use of different methods and/or products aiming towards a more cost-effective operations.
  • Oversee the adequacy of the Pool plant room and all the lifts.
  • Coordinate the opening and closing of our premises, keeping record of all keys and locks on our premises.
  • Lead and coordinate all security issues within Inspire's premises and to ensure the premises are always secure ensuring that the surveillance system is always working.
  • Ensure proper running, maintenance and remedial work in the plant room area and its machinery.
  • Assist and oversee of the drawing up of budget figures related to the area of responsibility.
  • Manage the financial and operational activities under their remit.
  • Develop and maintain relationships with key stakeholders, donors, and collaborators.
  • Assist in change management initiatives and ensure the organization is equipped with adequate infrastructure and processes to support growth.
  • Compile regular reports and other ad hoc KPI’s that may be requested.
  • Liaise with H&S Consultants and other H&S representatives on risk assessments and communicates preventative measures in relation to our Inspire premises.
  • Ensure that all premises are kept in a good state of repair by scheduling preventive maintenance and coordinating repairs.
  • Develop and implement a comprehensive set of standard operating procedures to support induction training and compliance in all work areas.
  • Provide effective quality management, supervision, and appraisal for employees under remit.
  • Maintain a high level of customer care always based on respect and hospitality with all stakeholders concerned.
  • Support Inspire in any emergency/extraordinary situations which may arise.
  • Ensure that all installations, maintenance, disposal of substances, and that all equipment (e.g. Solar panels, Lifts, Tools, lifting equipment etc.) is constantly maintained up to the required standards including all necessary supporting paperwork.
  • Oversee the financial and operational accountability for all activities under their remit.
  • Establish, develop, and maintain relationships with key stakeholders, donors, and collaborators.
  • Work closely with Senior Management Team (SMT) to facilitate business planning and reporting.
  • Develop business plan proposals for service delivery initiatives put forward by SMT.
  • Support decision-making process for the organization by assessing ROI, Risk, and cost/benefit.
  • Developing and managing project plans, schedules, and budgets, identifying project milestones, and coordinating with cross-functional teams to ensure successful project delivery.
  • Design and implement strategic action plans in line with the organization’s vision and goals.
  • Oversee and direct the property team to achieve business objectives.
  • Guide their team members in prioritizing major maintenance issues and initiate and develop action plans to resolve issues in order to achieve maximum productivity.
  • Implementing and maintaining the facilities’ security systems and measures.
  • Provide effective quality management, supervision, and appraisal for employees under remit.

Core skills & qualities

The ideal candidate should be in possession of the following:

  • A recognized qualification in Mechanical/Electrical Engineering;
  • A minimum of five (5) years experience in a similar role (this should include a minimum of 2 years of leadership);
  • Excellent technical, organization and troubleshooting skills;
  • Adaptable, flexible and customer-oriented individual;
  • High proficiency in English language (both spoken and written).

Prior to being recruited and throughout the duration of employment, the selected candidates need to satisfy the requirements of the Protection of Minors Act (POMA) together with those of immunization.
