Executive Operations Coordinator

Med Media Services is looking for a highly organised and proactive Executive Operations Coordinator (EOC) to work directly with executive leadership and support the operational coordination of the company.

As we continue expanding our international partnerships and media activities, this role will play a key part in helping manage workflows, projects, communications, and day-to-day operations across multiple areas of the business.

This is a dynamic and hands-on opportunity for someone who thrives in fast-paced environments and is eager to grow professionally within an international media organisation.

Key Responsibilities
  • Support executive leadership in coordinating daily operations and priorities
  • Assist in managing workflows across platforms and distribution, productions, marketing, partnerships, and sales.
  • Organise projects, timelines, deliverables, meetings, and follow-ups across departments
  • Help improve operational systems, reporting structures, and internal communication processes
  • Coordinate with internal teams, suppliers, agencies, and international partners
  • Prepare presentations, reports, operational updates, and meeting summaries
  • Monitor project progress and help ensure deadlines are met
  • Support business development initiatives and strategic projects

Requirements

  • Strong organisational and multitasking abilities
  • Excellent communication and coordination skills
  • Proactive, detail-oriented, and solution-focused mindset
  • Ability to work independently and take initiative
  • Comfortable working in a fast-paced and evolving environment
  • Strong time management and prioritisation skills
  • Familiarity with productivity and collaboration tools such Trello, Hubspot or similar platforms

Preferred Experience

  • Background or interest in media, television, OTT, digital marketing, startups, or international business
  • Experience in operations, project coordination, administration, marketing, or related roles is considered an advantage
  • International mindset and multilingual capabilities are considered a plus
