Safe Systems Coordinator

Purpose of Position

The Safe Systems Coordinator reports directly to the Lead – Health & Safety Officer and operates within the Operational Safety Pillar of the organization. This role is instrumental in supporting the design, implementation, and continuous enhancement of ISO-aligned management systems focused on Occupational Health & Safety (ISO 45001) and Psychosocial Health & Safety (ISO 45003). Collaborating closely with cross-functional teams, the coordinator ensures system integrity, drives proactive risk management, and fosters a culture of health, safety, and wellbeing throughout operational activities.

Main Responsibilities

• Support the strategic development, implementation, and continuous improvement of ISO 45001 and ISO 45003 management systems to meet evolving regulatory requirements and industry best practices.
• Support the coordination of system documentation updates, control procedures, and process standardization to maintain compliance and operational excellence.
• Facilitate cross-departmental collaboration to embed ISO standards within daily operational practices and decision-making processes.
• Work closely with the Lucidity System Administrator to ensure smooth operation, maintenance, and optimization of safety management software modules.
• Support proactive hazard identification, risk assessment, and incident reporting processes to minimize workplace risks.
• Coordinate and monitor corrective and preventive action plans, ensuring timely resolution and effectiveness of risk mitigation strategies.
• Support thorough root cause investigations by gathering relevant data, facilitating stakeholder engagement, and documenting findings comprehensively.
• Assist in the collection, validation, and analysis of comprehensive health, safety, and wellbeing data to generate actionable insights.
• Develop and maintain dynamic dashboards, compliance scorecards, and executive reports for the Lead – Health & Safety Officer.
• Analyze data trends to identify improvement opportunities and support informed decision-making processes.
• Actively promote mental health awareness and psychosocial safety initiatives in line with ISO 45003 standards.
• Assist in the design, implementation, and monitoring of psychosocial risk controls and wellbeing programs to support a resilient workforce.
• Collaborate with HR and other stakeholders to integrate psychosocial safety into broader organizational health strategies.
• Deliver comprehensive training programs and resources to ensure employees understand and effectively use safety systems.
• Maintain meticulous ISO documentation control systems to support internal and external audits.
• Track, report, and follow up on audit findings, corrective actions, and compliance milestones across departments.
• Assist in preparing the organization for audit readiness and continuous certification compliance.

Requirements

• Minimum 3 years’ experience supporting or managing ISO 45001-based occupational health and safety management systems.

• Strong working knowledge of ISO 45001 and ISO 45003 standards, including their practical application in operational environments.
• Proven experience with safety management software; hands-on experience with Lucidity is highly advantageous.
• Exceptional organizational skills with the ability to manage multiple projects and priorities simultaneously.
• Advanced data analysis and reporting capabilities, with proficiency in tools such as Excel, or other equivalent safety systems.
• Excellent communication and interpersonal skills, capable of influencing and engaging stakeholders at all levels.
• Proactive, detail-oriented, and a natural problem-solver with a commitment to continuous improvement and excellence.

 Preferred Qualifications:

• Formal certifications or training in ISO management system auditing or implementation (e.g., IRCA-certified auditor, NEBOSH Diploma).
• Background in occupational health, safety, or psychosocial risk management.
• Experience designing and implementing wellbeing programs or psychosocial risk mitigation strategies.
• Familiarity with incident investigation methodologies and root cause analysis techniques
