Reception Experts

The Reception Experts work under the coordination of the Greek authorities. The main tasks of each sub-profile are presented below. A full job description will be shared prior to taking up duties.  

1. Reception Assistant – Site Management 

  • Supports the local RIS Director in the management of the reception centre; 
  • Support the coordination of the stakeholders working in the reception centre; 
  • Support the liaison with local and national authorities (Hellenic Police, Greek Asylum Service, public hospitals, etc.) and other relevant stakeholders (NGOs, civil society, etc.);  
  • Support on the welcoming of new residents (including the signature of the Site Regulation);  
  • Support on keeping up to date of the registry of residents; 
  • Support in the establishment of a referral pathways to services and coordinate transportation to/from essential services; 
  • Support on notifying to residents the invitation for an interview or the decisions on their application for international protection; 
  • Support on the issuance of asylum seekers cards; 
  • Identify needs for staff development and facilitate the organization of capacity-building workshops, trainings, seminars in coordination with partners and external actors; 

2. Information Management (IM) Assistant 

  • Act as data focal point at field level and support RIS in collecting, filing, archiving, and categorizing data and information, and be responsible for the correct implementation of the IM exercise and data quality at site level; 
  • Appointed to perform tasks in a specific site, as well as in a wider area of responsibility designated as Cluster of Site(s), and be available for missions to other sites of the Cluster according to coordination needs arising; 
  • Support RIS in building data management and information coordination capacity within the reception facility;   Support RIS in regular or/and ad hoc verification and mapping exercises, in particular in terms of population data, data validation and data cleaning; 
  • Support RIS in ensuring accuracy and validity of the personal data of residents in the reception facility’s population list; 
  • Support RIS in ensuring data protection, in compliance and alignment with the General
  • Data Protection Regulation (GDPR), in particular ensuring physical and digital data security measures are implemented and followed; 
  • Support RIS in identifying gaps, errors and duplications in data and information reporting as well as in proposing solutions; 
  • Support RIS in the implementation of Standard Operating Procedures (SOPs), workflows, guidance, operational and administrative tools related to Information Management; 
  • Support RIS staff in capacity-building activities and on-the-job training on topics and tools related to Information Management; 
  • Support RIS in producing regular and ad hoc reports, including demographic reports, service mapping and capacity/occupancy of the reception facility; 

3. Reception Officer - Quality and Procedures 

  • Provide support/ to RIS at field level on reception, identification and registration procedures/regulations for applicants of international protection; 
  • Support RIS in the implementation of Standard Operating Procedures (SOPs), guidance, operational and administrative tools;  
  • Support RIS in implementing processes, workflows, tools and guidance that address local issues related to the administrative treatment/reception of applicants for international protection; 
  • Support RIS staff with capacity-building activities and on-the-job coaching on topics and tools related to  the areas of reception, identification and registration of applicants for international protection;  
  • Support in the implementation of quality monitoring/assurance mechanisms/tool aimed at ensuring quality and standardisation/harmonisation of procedures implemented at local level;   
  • Provide   hands-on support in administrative tasks and procedures related to (i) the
  • Dublin III Regulation, (ii) the appointment by Public Prosecutors of temporary caretakers for separated children, as well as (iii) referral of unaccompanied minors to specialised accommodation, (iv) the Voluntary Relocation Exercise   
  • Support RIS on the liaison/cooperation with other public authorities and other stakeholders on matters related to reception, identification and registration of applicants for international protection, in particular with local Asylum Service offices and with the Public Prosecutor; 
  • Provide collective and individual information to applicants for international protection regarding the national/EU legal frameworks on asylum, reception, registration and identification procedures and/or procedures related to their case;

For all profiles 

  • Participate in local meetings, either internally in RIS or with other local actors; 
  • Attend and contribute to thematic, coordination or other meetings and workshops organised by RIS, EUAA and/or other actors at central level, that aim to enhance and harmonise activities, procedures, and tools on reception issues; 
  • Attend regular meetings with EUAA; 
  • Participate in trainings organised by EUAA or other stakeholders locally or in other locations, when requested; 
  • Provide to EUAA regular analytical and statistical reports of provided services, challenges faced and best practices observed; 
  • Draft documents, templates, minutes and reports; 
  • Perform any other tasks in the interest of the service, relevant for the specific profile.

  • Reception Facilities in South Greece 
  • Reception Facilities in Islands
Requirements
  • Sound demonstrated previous experience in relevant tasks will be an advantage;
  • Experience in the migration and asylum context will be an advantage;
  • Very good understanding of the Greek migration and reception context;  Fluency in Greek and in English (oral and written);
  • Computer literacy, including MS Office applications (Word, Excel), use of internet and web-based applications;
  • Very good intercultural/interdisciplinary communication skills;
  • Excellent organizational and analytical skills;
  • Ability to work in a multicultural environment and under pressure.
Education and Experience
  • For Officer Positions: University degree, preferably in Law, is required whilst Post-graduate degree will be an advantage;
  • For Assistant Positions: University degree is preferred and advantageous and Sound demonstrated previous experience in relevant tasks will be an advantage;
