HR Coordinator

Role Overview:

We are seeking a hands-on HR to support the day-to-day HR operations of the company. This role offers exposure to the full HR function, with a strong focus on employee support, administration, and work permit processes. Studio Mod is looking for a passionate people person who enjoys working closely with employees and supporting a positive workplace environment.

Key Responsibilities:

• Manage work permit applications and renewals, including documentation, submissions, and follow-ups 
• Liaise with Jobsplus, Identity Malta, and other relevant authorities 
• Maintain accurate HR records, trackers, and employee files 
• Act as the first point of contact for employee queries and provide HR support 
• Support recruitment processes and coordinate job vacancies with line managers 
• Assist with onboarding and offboarding processes 
• Support payroll, time & attendance, and leave management 
• Assist in drafting and updating HR policies and procedures 
• Coordinate meetings and maintain regular communication with employees and management 
• Support health & safety practices and ensure compliance with Maltese employment law 
• Use and maintain HR systems (experience with Talexio is considered an asset)

Requirements:

• Level 5 qualification in HR, Business Administration, or a related field 
• 1–2 years’ experience in HR or administration 
• Good command of English; Maltese is considered an asset 
• Proficient in Microsoft Office (Word, Excel, Outlook) 
• Strong organisational and communication skills 
• Ability to handle confidential information with discretion 
• Able to work independently with a proactive and detail-oriented approach 
• A proactive, hands-on, and “can-do” attitude
• Willingness to learn and grow within a fast-paced environment
