Our client, a well-established hotel in Mellieħa, Malta, is seeking a Payables Finance Executive to join their finance team. Reporting to the Financial Controller, this role plays a key part in managing the company's financial obligations, ensuring supplier invoices are processed accurately and payments are executed on time.

 

The successful candidate will maintain strong supplier relationships, support accurate financial reporting, and contribute to the smooth operation of the hotel's finance function.

 

Key Responsibilities

  • Prepare creditors payment reports and process payment runs (including cheques, electronic transfers, direct debits, and standing orders), ensuring correct authorisation and adherence to agreed payment terms and cashflow requirements.
  • Issue remittance advices to suppliers in a timely manner.
  • Maintain accurate records of all creditor transactions, including allocations.
  • Prepare and issue creditors listings on a bi-weekly basis for management review, ensuring all purchase invoices are properly recorded and allocated.
  • Monitor and analyse cash flow and expenditure patterns, highlighting discrepancies or missing allocations.
  • Reconcile supplier statements and follow up on outstanding items to ensure timely resolution.
  • Assist with month-end and year-end processes, including accruals, reconciliations, and audit support.
  • Liaise with suppliers and internal departments to resolve invoice and payment queries while maintaining strong professional relationships.
  • Support the Financial Controller with ad hoc finance-related tasks as required.
  • Perform any other duties commensurate with the role.

Requirements

  • 2–5 years' experience in hotel finance or accounts payable roles.
  • Strong proficiency in hotel accounting systems and advanced Microsoft Excel skills.
  • Good understanding of financial regulations and hospitality industry standards.
  • Strong attention to detail and excellent organisational skills.
  • Ability to manage multiple tasks and adapt to changing priorities in a fast-paced environment.
  • Strong analytical and problem-solving abilities.
  • Excellent communication and interpersonal skills, including vendor relationship management.
  • Ability to work effectively both independently and as part of a team.
  • Self-motivated with a proactive and hands-on approach.
