About the Department

The regulation and supervision of professional trustees and other fiduciaries fall within the remit of the Malta Financial Services Authority (MFSA), which has a dedicated function responsible for both the authorisation and ongoing supervision of such persons. The primary objective of this function is to ensure that licensed trustees and fiduciaries maintain robust structures, systems, and controls to serve clients effectively, while also upholding their own reputation and that of Malta, in line with the jurisdiction’s international obligations. The Function is also responsible to maintain the trusts beneficial ownership register (TUBOR) updated and correct.

About the Role

In this role, you will join the Trustees Supervision team and be responsible for supporting the function with its core duties relating to the review of the conduct of relevant licence holders.

You will be expected to carry out the general handling of administration duties including but not limited to -

  • Handling general office duties which mainly include secretarial and other support duties depending on the exigencies of the Function;
  • Collaborating with colleagues to ensure seamless office operations and assisting with ad-hoc tasks as needed;
  • Managing the processes relating to incoming/outgoing or re-direction of mail/calls, setting of meetings and booking of meeting rooms;
  • Filing and record keeping of databases, updating of relevant website, archiving of documents;
  • Diary management;
  • Assisting in the due diligence process relating to onsite inspections and handling of Personal Questionnaires;
  • Communicating with stakeholders in relation to any pending documentation that is required and to ensure that this is provided accordingly;
  • Managing and updating records, checklists and information in various databases included but not limited to collection and validation of data;
  • Drafting of emails/letters to external parties as directed;
  • Preparing for and taking minutes of meetings as necessary;
  • Conducting research, collecting data, and compiling reports as assigned; and

You will also undertake any other duties as assigned by the Head and/or as may be required by the MFSA from time to time based on the exigencies of the Authority

About you

You will hold qualification in the relevant field of study at National Qualification Framework Level 5 or better, duly certified by the Malta Qualifications Recognition Information Centre (MQRIC) or a widely recognised professional qualification at a comparable level.

If you do not have the necessary academic or professional qualifications but you have at least three (3) years working experience, we would still be interested in speaking with you. Candidates with longer working experience relevant to the role will be preferred.

You will also have the below skillset:

  • Self-driven and ability to meet deadlines;
  • Interest in financial services;
  • Attention to detail and strive for quality and accuracy of the work;
  • Excellent time management skills and ability to adapt to changing priorities as may be necessary;
  • Ability to maintain good working relationships with other team players and with the industry in general; and
  • Excellent verbal and written communication skills.
