The Opportunity

We are seeking a highly organised, discreet, and proactive Personal Assistant to support the effective functioning of a busy Executive Office within a professional services environment.

This is a high-trust, high-impact role that requires strong judgement, attention to detail, and the ability to operate with autonomy in a fast-paced, confidential environment.

The Role

You will provide comprehensive administrative and operational support, including:

  • Managing a complex and dynamic calendar, ensuring efficient scheduling and prioritisation of meetings and commitments.
  • Coordinating meetings end-to-end, including agenda preparation, logistics, minute-taking, and follow-up on action points.
  • Acting as a central communication hub, screening, prioritising, and drafting correspondence across internal and external stakeholders.
  • Preparing high-quality documentation, presentations, and briefing materials to support business activities.
  • Supporting financial and administrative processes, including expense reporting and invoice coordination.
  • Maintaining structured, secure document management systems, ensuring compliance with GDPR and internal policies.
  • Overseeing the day-to-day running of the office environment, ensuring professionalism, organisation, and efficiency.
  • Managing stakeholder interactions, including clients, service providers, and internal teams, with a high level of professionalism.
  • Coordinating domestic and international travel, including detailed itineraries and logistics.
  • Supporting audits, regulatory reviews, and strategic initiatives as required.
  • Assisting with events, meetings, and business-related activities, ensuring seamless execution.

The Profile

3–5 years’ experience in a Personal Assistant or Executive Assistant role supporting senior leadership.

Strong organisational skills, with the ability to manage multiple priorities in a fast-paced environment.

Excellent written and verbal communication skills, with the ability to produce high-quality business documentation.

High level of discretion, professionalism, and integrity.

Proactive, solutions-driven approach with strong attention to detail.

Confident in dealing with senior stakeholders and external parties.

Strong proficiency in Microsoft Office and digital collaboration tools.

Sound understanding of confidentiality, data protection, and professional standards within a corporate environment.
