The successful applicant will be engaged as a locally engaged staff member by the Australian High Commission, Malta.  

The Fair Work Act 2009 is not intended to apply to the employment of Locally Engaged Staff (LES) at Australia’s overseas diplomatic and consular missions. The successful candidate’s terms and conditions of employment will be governed by the laws of Malta.

Please be advised that the Australian High Commission, Malta does not assist with relocation. Any costs associated with taking up the position would be the responsibility of the successful candidate.

About the Department of Foreign Affairs & Trade

The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high-quality overseas aid program and helping Australian travellers and Australians overseas.

The department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.

 

About the Position

Under general direction, the Corporate Services Officer manages financial services including payments, VAT returns, end of month and payroll, assists with budget preparation and provides general administrative support across a range of human resource and other corporate services in conjunction with the Regional Services Delivery Hub in London. The officer also provides back-up support to the Consular and Passports Officer. 

The key responsibilities of this position include, but are not limited to:

  • Under limited supervision, undertake financial tasks, including processing and paying invoices and staff salaries/entitlements, annual budget preparation, VAT returns, and responding to enquiries from staff and suppliers.
  • Undertake routine Quality Assurance tasking as required.
  • Undertake reception duties, including greeting visitors, taking telephone enquiries and providing client services to the public.
  • Administer HR processes according to departmental guidelines and local labour law requirements, including overseeing the onboarding and departure processes for Locally Engaged Staff and Australian-based officers.
  • Assist with the planning, coordination and delivery of official functions, visits and events as required.
  • Assist with project administration for the Australian Government’s Direct Aid small grants programme in Tunisia.
  • Assist with the provision of consular, passport and notarial services to Australian citizens in Malta including processing passport applications as required, in accordance with relevant legislative and departmental guidelines.
  • Provide administrative and back up support as required.

 

Required Experience/Knowledge/Skills

  • Fluency in English and proficiency in Maltese, French and/or Arabic.
  • Demonstrated experience in finance, payroll, administration and/or client service roles.
  • Strong organisational skills, attention to detail and the ability to work under pressure and manage priorities with limited supervision.
  • Strong interpersonal skills and the ability to build productive working relationships.
  • Demonstrated ability to provide accurate and timely research, with a demonstrated ability to set priorities, show initiative, exercise sound judgement, meet tight deadlines and achieve results.
  • Proficiency and experience with Microsoft Office programs, including Word and Excel.
  • Experience with SAP finance system is desirable.
