As part of our continued growth, we are seeking a motivated, organised and detail-oriented Administrator to join our Commercial Department on a full-time basis. The successful candidate will play an important role in supporting the Company's procurement and commercial operations through effective administration, supplier coordination and accurate record management.

Key Responsibilities:

  • Preparing, processing and maintaining commercial documentation, including quotations, purchase orders, sales orders, invoices and procurement records, ensuring accuracy and completeness at all times.
  • Coordinating with local and international suppliers to support the timely delivery of goods and services while maintaining the required quality and service standards.
  • Supporting supplier communication by following up on outstanding matters and assisting in the resolution of day-to-day operational issues.
  • Assisting with contract administration through the maintenance of records, monitoring of renewal dates and supporting compliance requirements.
  • Maintaining accurate procurement and commercial records within the Company's systems and databases.
  • Preparing purchasing reports and commercial data to support budgeting, cost-control initiatives and informed decision-making.
  • Liaising effectively with internal departments, suppliers and customers to ensure the smooth and efficient running of commercial operations.
  • Ensuring that procurement and administrative activities are carried out in accordance with Good Distribution Practice (GDP), company policies, internal procedures and applicable regulatory requirements.
  • Providing general administrative support and undertaking additional duties as required to support the efficient operation of the department.

Qualifications, Experience & Key Skills:

  • Experience within procurement, administration, customer service, logistics, healthcare, pharmaceutical, retail or distribution environments will be considered an asset.
  • Basic knowledge of procurement processes and commercial administration will be considered an asset.
  • Excellent organisational and time-management skills, with the ability to prioritise tasks effectively and meet deadlines.
  • Strong attention to detail and a high level of accuracy.
  • A proactive, professional and solution-oriented approach to work.
  • Proficiency in Microsoft Office applications, particularly Excel. Experience with SAP Business One (SAP B1) will be considered an asset.
  • Excellent written and verbal communication skills in English. Knowledge of Maltese will be considered an asset.
  • The ability to work independently as well as collaboratively within a team environment.
