The Role:

We are seeking a highly motivated and detail-oriented Junior Compliance Officer to join our team. The successful candidate will support the compliance team, with a primary focus on assisting with the preparation and coordination of external studio audits, including gathering necessary documentation, liaising with various departments, and ensuring timely submission of audit requests. 

This role plays a crucial part in ensuring that the company’s studio audit documentation management system is kept up to date and that all relevant stakeholders have easy access to the latest versions of required documents. The ideal candidate will have excellent organisational skills, attention to detail, and experience working with document control systems. This role is ideal for someone looking to grow their career in compliance and gain valuable experience in a fast-paced, dynamic sector.

This position will report to the Global Head of Studio Compliance.

Key Responsibilities:

• Lead the preparation and coordination of external audits with multiple internal departments to gather the required studio audit documents, ensuring all relevant studio audit documentation is submitted in a timely manner to the external auditors.

• Manage and maintain the company’s studio audit documentation management system (DMS), ensuring that all files are properly categorised, labelled, and stored for easy retrieval.

• Ensure that the most up-to-date versions of documents are always accessible, while archiving older versions for historical reference.

• Review documents to ensure accuracy, completeness, and compliance with established formats and standards before they are uploaded onto the DMS.

• Track the status of document submissions from various departments and follow up as necessary to ensure compliance with deadlines.

• Generate and distribute reports on document control activities, including document submission status, outstanding documents, and updates to the DMS.

• Assist in internal studio audits by obtaining and providing the necessary documentation and ensuring all requested files are readily accessible and organised.

• Additional ad-hoc tasks, as may be required from time to time by the team.

Requirements:

• Bachelor’s degree or equivalent in law, finance, accounting, IT business, or a related field.

• Previous experience preferred.

• Ability to liaise with multiple departments and manage document requests from different teams.

• Strong understanding of document control practices, including version control, naming conventions, and archiving procedures.

• Excellent organisational skills.

• Excellent analytical, communication, and interpersonal skills.

• Ability to work independently and collaboratively within a team. 

• Attention to detail and commitment to maintaining the highest standards of integrity.
