Vaia Legal, a boutique law firm specialized in corporate, aviation and yachting transactions is looking for an Office Administrator to join its growing team. This is a unique opportunity to get a foothold in this growing industry, join a modern team and develop your career further. 

Key Responsibilities:

  • Manage the daily administration and organisation of the office.
  • Maintain office supplies and ensure adequate stock levels at all times.
  • Coordinate meetings, appointments, and conference room bookings.
  • Manage incoming and outgoing telephone calls and correspondence.
  • Maintain and update calendars for lawyers and staff.
  • Prepare, update, and organise standard forms, templates, and office documents.
  • Assist lawyers with administrative and operational tasks as required.
  • Organise filing systems, both physical and electronic.
  • Liaise with suppliers, service providers, and external contacts.
  • Ensure the office environment remains professional, efficient, and well-maintained.
  • Support the team with general administrative duties and special projects.

Requirements

  • Previous experience in an administrative, office management, or secretarial role.
  • Excellent organisational and time-management skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in Microsoft Office applications (Word, Outlook, Excel).
  • Ability to manage multiple tasks and prioritise effectively.
  • Attention to detail and a professional approach to work.
  • Ability to work independently and as part of a team.

Desirable

  • Experience working in a legal, professional services, or corporate environment.
  • Familiarity with document management systems and legal administration processes.
