Our client who operates in Marketing is looking to employ an Office Administration who would overlook the running of the offices. Reporting to the Director your responsibilities include: 

  • Oversee Senior Management's agendas and travel arrangements, including reminders and scheduling meetings/appointments.
  • Assist Senior Management with correspondence, corporate documents, and take meeting minutes when needed.
  • Prepare meeting rooms or event spaces, including organizing refreshments when necessary.
  • Coordinate office events and activities, ensuring compliance with company policies.
  • Run errands outside the office, such as picking up supplies, equipment, and visiting the post office.
  • Manage the upkeep and maintenance of the office.
  • Maintain stock lists of office stationery and kitchen supplies, and place orders as required.
  • Build and maintain relationships with suppliers and vendors.
  • Handle daily lunch orders for company staff.
  • Perform any other administrative or runner tasks as required.
  • Carry out any additional tasks assigned by Senior Management.
Requirements
  • Must be in Malta.
  • Communicates well in both English & Maltese (verbally & in writing).
  • Strong organizational and time-management abilities.
  • Proficiency in Microsoft Office and other office management software.
  • Adeptness in handling pressure, tight deadlines, and shifting priorities.
Education and Experience
  • Relevant educational qualification.
  • Previous experience in a similar role.
  • Must have a driving license.
