Back Office and Front Office Clerk- Maltese Speaking ( Based in a quarry in Had -Dingli)
Job Summary
We are seeking a motivated, organized, and detail-oriented Back Office and Front Office Clerk to join our team. The successful candidate will primarily be responsible for back-office administrative duties while providing front office support when required. The role requires strong organizational skills, accuracy, and the ability to work efficiently in a fast-paced quarry and production environment.
Main Duties and Responsibilities
Front Office Duties
• Greet and assist customers, suppliers, and visitors in a professional manner
• Record all materials entering and exiting the quarry, including consignments of fuel, cement, aggregates, and other production materials
• Verify delivery documentation and ensure accurate data entry
• Answer and direct phone calls and inquiries appropriately
• Maintain a clean and organized reception/front office area
Back Office Duties
• Process and accurately post chits, delivery notes, and invoices
• Prepare, issue, and follow up on client invoices for services rendered
• Maintain comprehensive and up-to-date records of transactions
• Organize and maintain filing systems (physical and electronic) and archive room
• Prepare daily, weekly, and monthly reports as required by management
• Communicate with suppliers and customers via email and telephone
• Assist with stock reconciliation and inventory documentation when required
• Support other departments to meet reporting deadlines
• Perform other general administrative duties as assigned
Qualifications and Requirements
• Minimum secondary school certificate (post-secondary qualification in administration or accounting will be considered an asset)
• Previous experience in an administrative, clerical, or similar role preferred
• Proficiency in Microsoft Office applications (Word, Excel, Outlook)
• Experience with accounting or ERP software will be considered an advantage
• Strong numerical and data entry skills with high accuracy
• Excellent organizational and time-management skills
• Good written and verbal communication skills
• Ability to work independently and as part of a team
• High level of integrity and ability to handle confidential information
• Ability to work under pressure and meet deadlines
Working Hours
• Monday to Friday: 07:30 – 16:00
• Overtime and weekend work may be required occasionally based on operational needs and customer/supplier requests
