RQT Ltd, a subsidiary within Corinthia Group of Companies, is in search of a highly organized Office and Payroll Administrator to join its team. The ideal candidate will actively contribute to supporting the administrative functions of this business unit.

Responsibilities:

  • Provide support for HR administrative activities within the business.
  • Place job advertisements on agency portals.
  • Evaluate CVs and potentially conduct initial interviews.
  • Draft contracts of employment.
  • Acknowledge receipt of job applications.
  • Maintain and update company databases.
  • Apply for Work Permits for Third Country Nationals through the ID Malta portal.
  • Contribute to day-to-day bookkeeping tasks, including reconciliations, postings, and invoicing.
  • Assist the team in daily office duties and support the Administration Manager.
  • Manage all aspects of payroll preparation, including the completion of statutory forms.
  • Address client payroll queries.
  • Offer information and address employee queries related to payroll matters.
  • Oversee timekeeping systems and review timesheets.
  • Handle vacation and sick leave requests.
  • Execute monthly payroll preparation.
  • Ensure adherence to preset cutoff dates across all departments.
  • Continuously update employee records.
  • Uphold full confidentiality.

Key Competencies:

  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Exceptional verbal and written communication skills.
  • Strong organizational abilities, including effective prioritization and multitasking.
  • Familiarity with local employment law.
  • Ability to work under pressure with minimal supervision.
  • Minimum requirement of an Advanced Level of education.
  • Previous payroll experience is mandatory.
  • Experience using ID Malta for work permit applications and renewals, along with familiarity with Jobs Plus portals, is considered an asset.
  • Proficient knowledge of Social Media Platforms, particularly LinkedIn.
  • Familiarity with Xero Accounting software and Shireburn is advantageous.
  • A positive attitude and a mindset geared toward learning and growing within a reputable company.

Requirements:

  • Candidates must be based in Malta and preferably be in possession of a Valid Driving License.
