Role Overview
The
Administrator - Sea & Air Freight will play an integral part in coordinating and supporting freight operations across sea and air channels. The role focuses on managing shipment workflows, supporting commercial planning, selecting appropriate transport routes and carriers, and ensuring all documentation and regulatory requirements are accurately fulfilled. The position requires close attention to detail, strong coordination skills, and the ability to operate effectively in a fast-paced logistics environment.

Key Responsibilities

  • Shipment Coordination: Oversee the end-to-end movement of sea and air freight, ensuring consignments are processed efficiently and delivered within required timeframes.
  • Route & Carrier Management: Assist in identifying suitable shipping routes and transport providers, balancing cost efficiency, reliability, and service quality.
  • Documentation & Compliance: Prepare, review, and manage all shipment-related paperwork while ensuring adherence to international freight regulations and standards.
  • Operational & Sales Support: Work closely with internal teams to support planning activities and assist in handling client requirements and logistics queries.
  • Stakeholder Communication: Liaise with clients, carriers, and international partners, maintaining clear and professional communication throughout the shipping process.

Qualifications, Skills and Attributes

  • Education: A-Level standard of education is required. A Diploma in Logistics, Transportation Management, or a related field will be considered an advantage.
  • Experience: Prior exposure to shipping, freight forwarding, or logistics operations will be viewed favourably, though not essential. Must be familiar with Good Distribution Practices and regulations specific to pharmaceutical logistics. ​​​
  • Language Skills: Excellent command of English is required to succeed in this role. The ability to communicate in Maltese would be an asset.
  • Communication Skills: Strong verbal and written communication abilities, with confidence in handling professional interactions across diverse international stakeholders.
  • Interpersonal Skills: Ability to work collaboratively while maintaining professionalism when dealing with clients, colleagues, and external partners under pressure.
  • Technical Skills: Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
  • Organisation: Strong multitasking capability with the ability to prioritise workload effectively in a deadline-driven environment.
  • Self-Motivated: A proactive approach with the ability to work independently, take ownership of tasks, and deliver under pressure.
  • Problem-Solving: Capable of responding quickly and effectively to operational challenges and unexpected shipping issues.
