We are seeking a highly organized, detail-oriented, and strategic Tendering Officer to manage the end-to-end tendering process and ensure full compliance with regulatory and client-specific requirements. This role is critical in identifying and capitalizing on tender opportunities in both the public and private sectors, while also ensuring the company meets the prequalification criteria and holds the necessary certifications and documentation for successful bidding.

As a key player in our business development function, the Tendering Officer will liaise with multiple internal departments and external entities to coordinate information, meet tight deadlines, and enhance the company’s competitiveness in the market.

Key Responsibilities:

Tender Opportunity Identification

  • Continuously monitor public procurement portals (e.g., ePPS) and private platforms for relevant tenders
  • Establish and maintain a pipeline of upcoming tender opportunities and alert relevant stakeholders in advance
  • Conduct initial assessments to determine tender relevance, requirements, and potential profitability.

Tender Preparation & Coordination

  • Take ownership of the tender preparation process, including planning, delegation, and compilation of required documentation
  • Coordinate with internal departments to gather accurate and timely information
  • Draft and edit written submissions, ensuring a clear, professional tone and adherence to all formatting and content requirements
  • Prepare commercial and pricing proposals in collaboration with Operations and Management.

Regulatory Compliance & Risk Management

  • Stay current with local, EU, and international procurement regulations, framework agreements, and compliance protocols
  • Ensure tender submissions fully comply with all legal, technical, and administrative requirements
  • Mitigate risks by verifying eligibility criteria, documentation completeness, and compliance history before submission.

Certification & Vendor Registration Management

  • Identify and oversee the application or renewal process of relevant company certifications (e.g., ISO standards, tax compliance certificates, professional licenses)
  • Manage relationships with external certification bodies and ensure timely responses to verification requests
  • Coordinate registration and maintenance of company profiles on various supplier databases and tendering platforms.

Post-Tender Activities

  • Track the progress and outcome of submitted tenders, including debriefs on unsuccessful bids
  • Collect and analyze feedback from clients or authorities to inform future tender strategies
  • Collaborate with Operations and Accounts for successful handover upon award.

Reporting & Process Improvement

  • Maintain a centralized and organized filing system of past, current, and upcoming tender submissions
  • Produce regular tender pipeline and performance reports for management review
  • Contribute to continuous improvement of the company’s tendering process, templates, and strategies
