Pharma.MT in Malta is looking to recruit an Operations Manager to join their team on a full-time basis.

Job Role: 
The Operations Manager position is open for an experienced and “hands-on” person who possesses an analytical and strategic mind and who will form part of the senior management team of the company at Pharma.MT. The selected candidate will be working closely with the Directors and the Senior Management team to develop, implement and oversee the daily activities across the organisational functions through collaborative (horizontal) working relationships across the organisation in pursuit of the company’s wider business goals. Specifically, the chosen person will develop and administer all human resource initiatives and provide HR support to all departments. He/she will also be responsible for the operations of the company, including overseeing the sales and logistics functions. The position calls for an individual who is able to develop and implement various systems and maintaining positive relationships with vendors, clients, and internal staff to ensure the success of PharmaMT and the smooth functioning of the organisation.

Duties & Responsibilities:
Human Resources:

  • Maintain all personnel policies and procedures and provide guidance and interpretation to staff;
  • Maintain good knowledge of legal requirements related to HR;
  • Research industry trends and make recommendations to Directors for improvement of organisation’s policies, procedures and practices on personnel matters including all company benefit plans;
  • Be the point of contact for all staff regarding HR matters;
  • Manage the company onboarding programme in collaboration with departmental heads;
  • Conduct full-cycle recruitment of new employees, including placing advertisements, developing contacts with recruiting sources, interviewing and managing onboarding process;
  • Handle employee grievances including any disciplinary procedures;
  • Manage staff training/development program in conjunction with respective departmental heads;
  • Ensure that all personnel files are up-to-date at all times;
  • Oversee performance evaluation.

Operations:

  • Oversee and provide specialist support in the development of departmental plans, prepared in relation to the various functions which will ultimately combine to form the ‘operations strategy’;
  • Ensure the efficient administration of the company and seek to create synergy across all units;
  • Manage the following Key functions under responsibility include > Internal Process, Logistics, Distribution, HR and IT among others;
  • Oversee the sales function of the organisation in conjunction with the sales manager;
  • Ensure the achievement of sales targets;
  • Ensure proper coordination between logistics and sales;
  • Develop and handle the implementation of the company’s operational policies;
  • Assist in the development of the company’s sales and logistics strategy;
  • Translate strategy into operational and actionable tactics that can be monitored and evaluated;
  • Continuously analyse internal operations for process enhancement with the aim to improve efficiency for the company;
  • Work closely with the senior team to align business processes with financial and commercial requirements;
  • Adopt the company’s core values and culture to align across the operational business and functional units;
  • Produce ongoing reports for company management;
  • Keep up to date with industry developments and provide key insights to the management team.


Qualifications:

  • Degree in Management or related field;
  • Minimum of 5 years experience in an Operations Management and Sales Management role.

  • Strong interpersonal skills and adept at employee relations including conflict resolution;
  • Client focused, customer service disposition;
  • Demonstrated ability to prioritise multiple projects simultaneously and exercise confidentiality;
  • Highly organized and self-motivated;
  • Excellent organizational and leadership ability;
  • Strong judgment and decision-making ability;
  • Proactive problem-solving ability;
  • Knowledge of data analytics and reporting including goof working knowledge of MS Office;
  • Good with numbers and financial planning;
  • Analytical mind;
  • Problem-solving aptitude;
  • Ability to manage time effectively and to adapt quickly to changing priorities;
  • Ability to work with deadlines and without close supervision;
  • Effective listening, communication (verbal and written) and negotiating skills;
  • Ability to coach and develop employees in terms of knowledge, skills and attitude.
     

Working Conditions:

  • Full Time - Indefinite Contract;
