Role Overview
Heroix is proud to partner with a leading player in the freight forwarding sector to recruit an Operations Coordinator. This role is integral to managing the domestic warehousing operations of a trailer operator in Malta. It offers an exciting opportunity for a proactive, organised, and client-focused individual who can work independently and make decisive operational choices in a dynamic logistics environment.

Key Responsibilities

  • Inbound Planning: Plan, coordinate, and monitor incoming Groupage and Full Load Trailers due to arrive in Malta.
  • Multi-Modal Coordination: Manage the planning and processing of additional shipments including containers, air freight, and courier deliveries.
  • Warehouse Supervision: Oversee unloading operations and manage deliveries while groupage cargo is being unloaded at the warehouse.
  • Client Communication: Liaise with clients daily to schedule deliveries and provide tailored solutions when required.
  • Temperature Control Monitoring: Track and monitor temperature-controlled trailers, including outside regular hours when necessary.
  • Team Coordination: Supervise the Hal Far Bonds team, issuing clear task plans and operational instructions throughout the week.
  • Internal Liaison: Collaborate with the front office to address unloading discrepancies and with the accounts department on cost matters.
  • Customs & Compliance: Coordinate with customs brokers on non-EU and excise shipments, ensuring proper documentation and clearance.
  • Operational Efficiency: Work with the operations department to prioritise shipments and trailers, supporting the company’s service standards.

Qualifications, Skills, and Attributes

  • Education: Relevant certifications or training in logistics or warehousing are considered an asset.
  • Experience: Prior experience in warehousing and delivery operations is essential, particularly in a fast-paced logistics or freight forwarding environment.
  • Language Skills: Excellent command of both Maltese and English is required to succeed in this role. 
  • Communication Skills: Strong verbal and written communication skills for clear coordination with clients and team members.
  • Interpersonal Skills: Professional, approachable, and client-focused with the ability to build strong working relationships.
  • Technical Skills: Competent in Microsoft Excel, Word, and Outlook; comfortable using basic IT systems in an operational setting.
  • Organisation: Highly organised with the ability to manage multiple priorities and deadlines efficiently.
  • Self-Motivated: Able to work independently with minimal supervision and take initiative in resolving issues.
  • Problem-Solving: Proactive in identifying challenges and implementing effective solutions within warehouse and logistics environments.
