We are seeking to immediately recruit a Business Operations Executive as part of our growing team. As the Business Operations Executive, you will be a key member of our operations team, responsible to ensure constant oversight and effective coordination of all necessary operational activities of our investment advisory company. Another key responsibility of the role is minute-taking, thus attending business meetings and producing effective and detailed documentation as necessary. You will work closely with all team members of the company and other stakeholders to ensure efficient processes, effective communication, and seamless execution of operational functions. Your role will encompass a wide range of responsibilities, including process management, project coordination, and data analysis, to support the overall success of the company.

Responsibilities:
  • Oversee and coordinate operational processes, ensuring efficiency, accuracy, and adherence to established procedures
  • Collaborate with cross-functional teams, including finance, compliance and legal, data and technology, and client services, to streamline operations and drive effective communication
  • Attend business meetings, taking appropriate and detailed minutes, at times providing immediate documentation of meetings
  • Conduct regular analysis of operational data and performance metrics to identify trends, patterns, and areas for improvement
  • Contribute to the development and implementation of operational policies, procedures, and guidelines, ensuring compliance with regulatory requirements and industry best practices
  • Coordinate and support operational projects, including system enhancements, process automation, and strategic initiatives, ensuring timely completion and successful implementation
  • Maintain relationships with external service providers, clients, and other stakeholders, ensuring effective collaboration and service delivery
  • Monitor and bring to the attention of management any operational risks, proactively identifying issues and implementing appropriate controls and mitigation strategies
  • Support the development and maintenance of operational systems and tools, providing user support and driving system enhancements as needed
  • Assist with the preparation of operational reports and presentations for senior management and stakeholders.
  • Stay updated on industry trends, market developments, and regulatory changes affecting the investment advisory sector, and provide recommendations for operational improvements.

Qualifications:
  • Bachelor's degree in business administration, finance, or a related field
  • Proven experience of at least 1 year in business operations management within the investment advisory or financial services industry is a plus
  • Strong project management skills, with the ability to coordinate and prioritise multiple tasks and projects effectively
  • Analytical mindset with proficiency in data review and reporting, utilising tools such as Excel, databases, and reporting software
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with stakeholders at all levels
  • Detail-oriented with a strong focus on accuracy and quality of work
  • Knowledge of operational systems and tools, with the ability to learn new technologies quickly
  • Ability to thrive in a fast-paced and dynamic environment, adapting to changing priorities and business needs 
  • High level of integrity, professionalism, and commitment to maintaining confidentiality and data security
  • Understanding investment advisory operations, including trade settlement, client onboarding, compliance, and regulatory requirements would be considered an asset.
