Are you detail-oriented, analytical, and passionate about both numbers and people? Join the Cherubino Group as a Payroll Executive and play a central role in managing payroll operations and planning staffing needs for our growing Smiths Pharmacy chain and other business units.

ThePayroll Executive ensures accurate and timely payroll processing while also supporting the planning and coordination of pharmacy rosters, staffing levels, and manpower forecasting. This role acts as a critical link between Finance, HR, and Operations to support both employee well-being and business efficiency.

Key Responsibilities

  • Payroll processing and employee compensation
  • Administer end-to-end monthly payroll using Shireburn Indigo payroll software.
  • Ensure correct application of tax, NI, bonuses, overtime, and deductions.
  • Maintain accurate and confidential payroll records.
  • Prepare and submit statutory reports (FS3, FS5, FS7, etc.) and support audits.
  • Respond to payroll-related employee queries and resolve discrepancies professionally.
  • Ensure payroll and compensation practices are compliant with Maltese legislation.
  • Forecast staffing needs based on operational hours, peak periods, and business expansion across Smiths Pharmacy chain.
  • Develop and manage pharmacy staff rotas in coordination with managers.
  • Monitor headcount, absenteeism and overtime.
  • Collaborate with HR on recruitment forecasts and onboarding schedules.
  • Liaise with CFO to create reports on payroll costs, absenteeism, and budget variances.
  • Recommend improvements to scheduling practices, payroll efficiency, and workforce utilisation.
  • Liaise with Finance and HR to align manpower budgets and actual deployment.

Ideal Candidate Profile

  • Minimum 2–3 years’ experience in payroll and/or workforce planning.
  • Proficient in Shireburn Indigo payroll software and Microsoft Excel.
  • Familiarity with workforce scheduling or planning tools is an asset.
  • Solid knowledge of Maltese labour law and tax regulations.
  • Proficiency in both Maltese and English is a must.
  • Strong organisational, time management, and communication skills.
  • Discreet, proactive, and solution-oriented, with a high level of accuracy.
