IRIS THAUMAS Ltd in Malta are looking for a Junior HR Executive to join their client's team. As a Junior HR Executive, you will assist the Senior HR Executive with the day‐to‐day operations of the HR functions and duties. Your role will also entail in providing clerical and administrative support to the Human Resources Department. As a Junior HR Executive, your duties will also involve a wide range of supporting activities from coordinating meetings to maintaining their employee database. An important part of your role will be to act as the liaison between HR and employees, ensuring smooth communication and prompt resolution of requests and questions.

DUTIES AND RESPONSIBILITIES:
Recruitment:
Participating in recruitment efforts.
Preparing new employee files.
Preparing employee contracts.
Orienting new employees to the organization (setting up a designated log‐in, workstation, email address, etc.).
Assist new employees with any HR‐related queries and requests.
Updating HR Software Database information.
Provide Humanity Training.
Provide a quick induction meeting with new recruits.
Prepare new work permits if required.
Humanity Programme:
Provide assistance and support for any Humanity Enquiries in an accurate and timely manner.
Implement new and existing reports as requested by the Management team.
Audit the Humanity Employee Database with the Payroll and HR Software.
Record Maintenance:
Maintaining current HR files and databases.
Organize and file all HR documents.
Updating Payroll folder accordingly.
Updating of JobsPlus documents.
Completing termination paperwork, and assisting with existing interviews.
Performing file audits to ensure that all required employee documentation is collected and maintained.
Maintain records and prepare monthly reports related to Injury Reports, Performance Appraisals, Disciplinary Actions, Promotions, Engagement and Terminations, and Employee Relations.
Support employees with HR-related enquiries or requests.
Oversee employees by visiting locations.
Event Planning:
Assist in any internal or group company events.
Health and Safety:
Organize induction training to new employees.
Assist in the organization of the Health and Safety Training to all employees.
Assist in the organization of the Health and Safety Employee Representative Meetings.
Organize Food Handling Training and update HRM Database.
Report any Injuries/Accidents/Near Miss to their Health and Safety Manager, and OHSA if required.
Provide and monitor employees’ PPE Equipment.
Other duties:
Participate and attend meetings as requested.
Other duties assigned according to the business exigencies.
REQUIREMENTS AND SKILLS
A minimum of 1-2 years of relevant experience.
Flexible time management schedule.
Ability to handle complex situations in a confidential and professional manner.
Extensive knowledge of Maltese Employment Law and HR systems.
Excellent communication skills, Interpersonal skills.
Working knowledge of the Maltese Language would be considered an asset.
Adept in problem-solving.
