Our client is looking for an HR Operations Coordinator to be responsible for the coordination of all human resources activities for existing projects and new projects, focusing on International Recruitment, HR logistics and Crew Schedules for remote sites. This position works closely with Individual Project managers and the Operations Manager to ensure operations receive Quality HR support through the company’s areas of operation. 

MAIN RESPONSIBILITIES:

  • Ensuring that all personnel and third party providers are aware of and adhere to all Company HR related Policies and procedures
  • Scheduling, managing and organising the mobilisation of staff member, including the handling of Fitness To Work (FTW) certification, vaccination confirmations visas, flights, accommodation and insurance
  • Liaising with clients or Project Manager regarding the mobilisation of staff members
  • Managing and assisting the operations department in the recruitment process, including; reviewing/creating job descriptions, headhunting, shortlisting and interviews  
  • Maintaining an updated roster for all projects and sites
  • Approving time sheets received from all sites and ensure they are received by the accounts department in a timely manner
  • Liaising with in-country HR personnel to organise Performance Appraisals, investigate incidents, manage poor performance plans and implement the outcomes of disciplinary procedures as required

Only candidates with previous experience in a similar role and who are already based in Malta will be considered for this position

Skill-sets and Requirements
  • Able to work under pressure, in a team and on his/her own initiative
  • Excellent communication skills, able to communicate at all levels
  • Highly organised with strong attention to detail
  • High proficiency in English, additional languages would be an advantage
  • Able to respect deadlines and focused on delivering on time
Education & Experience
  • Previous experience in Operational HR, ideally in handling remote projects and personnel
  • Ideally a minimum of 2 years’ experience in general HR
  • Ideally a qualification/diploma in HR or relevant field from a recognised academic or industry body such as CIPD
