Land Registration Agency in Malta is seeking to recruit an Administrative Officer (Business Management) to join their team on a full-time basis.

Is this for me?

You will be responsible for the administration processes of the drawing and legal office. You will aid in the business aspects of the Agency by overseeing the business projects of each unit as well as aid in keeping the unit’s business exigencies monitored and attended to. 

This is what I will be doing:

  • Draft and implement project tracking strategies for the work pertaining to the Agency.
  • Coordinate with the respective Unit Coordinators to distribute work within the Unit and keep track of the progress of the assigned work.  
  • Liaise with the respective officer in charge of searches/files related to other government bodies to ensure that the administrative functions are attended to.
  • Performs administrative work in terms of attending to forms that the Agency’s clients have submitted and process them accordingly.
  • Draft and implement a file tracking system between the various established departments with heavy emphasis on files that are to be addressed by our legal department. 
  • Liaise with the Agency’s Customer Experience department to attend to general queries posited by the Agency’s clientele via emails and phone.
  • Assist the Agency with any pending administrative work.
  • Assist the Agency in updating its court files.
  • Participate in the development of specific strategic plans and objectives of the Agency, to table suggestions relating to the modification of objectives. 
  • Act as the Agency’s witness in court cases that do not require any legal and/or technical knowledge.

You may be required to assist other employees/departments and/or requested to perform other duties as the need may be, which duties may also change or be supplemented from time to time according to the business exigencies of the Agency

You will excel in your role as you will:

  • Develop reports pertaining to the work progress of the Agency.
  • Develop structured operations and review the current work-flow processes.
  • Maintain an up-to-date knowledge of current project management systems

Qualifications and Experience

The minimum qualifications eligible for shortlisting are a recognised MQF Level 5 Diploma (subject to a minimum of 60 ECTS/ECVET credits or equivalent) in Administration, Project Management field or any other comparable qualification.

The academic qualification shall be coupled with: 

• Experience with project management systems

• Knowledge of improving workflow systems

OR

A recognised MQF level 4 certificate and/or diploma in Project Management or a comparable qualification.

The academic qualification/s shall be coupled with: 

• A minimum of 3 years post-graduate experience in similar position in an administrative role

• Experience with project management systems

• Knowledge of improving workflow systems
