Pharmasal Limited in Malta is looking to recruit a Secretary to join their team on a full-time basis.
Job Role:
The ideal candidate should be efficient, discreet, and proactive, ready to provide secretarial and administrative support in a well-organized and professional setup. Candidates must be fluent in both Maltese and English.
Main responsibilities will include:
Maintain the Managing Director’s daily schedule.
Assisting the Management Team in ensuring the smooth running of the Company’s Administrative Office on a day-to-day basis.
Manage communication including emails and phone calls.
Screen phone calls, redirect calls, and take messages.
Managing the daily/weekly/monthly agenda and scheduling new meetings and appointments.
Preparing and distributing correspondence, memos and forms as necessary.
Maintain all filing up-to-date.
Maintain and order office supplies.
Prepare Purchase Orders.
Receive invoices and review for accuracy
Coordinate travel arrangements including transportation and accommodation.
Organising and scheduling staff training as shall be required.
Assist in compiling all necessary HR information for payroll purposes on a monthly basis.
Preparing monthly sales statistics.
General office duties.
Assisting in the preparation of documents for day-to-day meetings.
Requirements:
Candidates should be proficient in the use of all MS Office applications, especially Excel, possess excellent communication, writing, and time management skills, be flexible and possess a can-do attitude, and be capable of handling sensitive and complex issues in a professional manner.
Experience within a similar role or persons holding a certificate or diploma in Administration and Management would be given preference.
