Our client, a leading company within the FMCG Imports and Distribution and Retail industry, is recruiting for a Personal Assistant to support the CEO. Your roles and responsibilities will include the following:
Organizing and maintaining the CEO’s diary, including the management of meetings and appointments and available time for direct reports on a daily, weekly and monthly basis
Organising travel arrangements and meetings on behalf of the CEO/C-Suite Team when the need arises
Supporting with general office management as well as the preparation of boardrooms and meeting rooms ahead of meetings
Screening telephone calls, enquiries and requests. Handling them when appropriate and welcoming the CEO’s guests.
Dealing with written correspondence, writing emails/letters and corporate documentation, highlighting any items for the CEO’s immediate attention
Carry out specific projects, research, and administration as required by the CEO
Take minutes during meetings and prepare the necessary meeting packs when necessary
Management of files to achieve the maximum effectiveness
Assisting CEO/C-Suite with any ad-hoc requests
Skill-sets and Requirements
Strong administrative and personal assistant skills with an ability to work well in a fast- paced environment;
An effective planner with proven time management skills and attention to detail
Excellent verbal and written communication skills in English is required whereas in Maltese would be beneficial
Be alert and hard working
Comprehensive capabilities in Microsoft Office, and Gmail/Outlook
An understanding of general business management such as budgets, forecasts and reporting is a plus
Education & Experience
Minimum of 3 years experience in a similar role, assisting a senior executive is required
Having a diploma in administrative studies or similar is preferred
