Toly Products Ltd in Malta is looking to recruit a Personal Assistant to join their team on a full-time basis. 

Job Role: 
As a Personal Assistant (PA) you will work closely with the Chief Marketing Officer (CMO) to provide administrative support, in a very creative and dynamic environment.

As a PA, you will often act as the first point of contact with people from both inside and outside the organization.
Tasks include:
  • Devising and maintaining office systems, including data management and filing;
  • Screening phone calls, enquiries, and requests, and handling them when appropriate;
  • Meeting and greeting visitors across various levels of seniority;
  • Planning, organising, and maintaining diaries and making appointments;
  • Dealing with incoming emails, enquiries, often corresponding on behalf of the manager;
  • Carrying out background research and presenting findings;
  • Producing documents, briefing papers, reports, and presentations;
  • Organising and attending meetings and ensuring the manager is well prepared for meetings;
  • Liaising with clients, suppliers, and other staff;
  • Carrying out specific projects and research;
  • Responsibility for accounts and budgets;
  • Supporting the  CMO with the overall responsibilities and working more closely with management.

We are looking for a self-driven, creative individual with proven analytical skills to assess business performance and market trends.
Reporting to the Chief Marketing Officer, the Personal Assistant will have the opportunity to grow personally and professionally, working in a positive can-do environment and the freedom to express his / her own creativity. This position calls for a person who is proactive, inquisitive, driven, ambitious, confident, thorough, and collaborative. Having excellent planning skills, being able to meet deadlines and good communication skills that are courteous and professional are essential attributes.

Qualifications and Desired Skills:
  • A degree in administration, business or management, preferably with some experience in a similar role;
  • Solid computer skills, including MS Office, Adobe Suite, and Google Analytics;
  • Good organisational and time management skills;
  • Experienced and knowledgeable with social media and online marketing;
  • Excellent verbal, and written communication skills and meeting etiquette;
  • Ability to work successfully in a team environment;
  • Strong interpersonal and leadership skills;
  • A self-starter with the ability to work with little supervision;
  • Experience with budgeting;
  • A strong analytical and research background coupled with the ability to translate data into action plans;
  • Can easily embody and communicate at all levels the company’s values and beliefs;
  • A trustworthy, responsible and dependable person with high integrity.
