One of our clients operating within the Healthcare industry, is seeking a highly organized, discreet, and proactive Personal Assistant (PA) to support the CEO. The PA will act as a key point of contact between the CEO and internal/external stakeholders, providing comprehensive administrative and operational support to ensure the smooth functioning of the CEO’s office and the broader executive operations.

Key Responsibilities:

  • Manage and coordinate the CEO’s calendar, schedule meetings, appointments, and travel arrangements.
  • Prepare and organize documents, reports, presentations, and correspondence on behalf of the CEO.
  • Attend and take minutes at executive meetings, ensuring follow-up on action items.
  • Screen incoming communications (calls, emails, mail), prioritize responses, and handle queries where appropriate.
  • Liaise with senior management, board members, medical staff, and external partners as needed.
  • Organize and coordinate board meetings, events, and VIP visits.
  • Maintain confidentiality and handle sensitive information with discretion and integrity.
  • Support project management tasks and track deadlines for strategic initiatives.

Requirements

  • Candidates must already be working in Malta
  • Exceptional organizational and time-management skills
  • Strong verbal and written communication abilities
  • High level of discretion and professionalism
  • Proficiency in MS tools
  • Ability to multitask, prioritize tasks, and work under pressure

Education and Experience

  • Prior local experience as a PA, Executive Assistant, or similar role supporting senior executives is a must
  • A Level Standard of Education as a minimum
  • Qualifications in Business Administration, Health Administration, or related field is a plus
