We are looking for an Office Administrator to join our team and support the smooth running of office duties. The ideal candidate is detail-oriented, proactive, and capable of handling multiple administrative responsibilities efficiently.

Duties

  • Handle day-to-day administrative tasks including filing, data entry, and document management
  • Answer phone calls and respond to emails in a professional and timely manner
  • Prepare and process documentation for internal use and external stakeholders
  • Assist in scheduling appointments, meetings, and site visits
  • Maintain records related to clients, employees, and service providers
  • Manage the condominium’s email inbox, responding to inquiries and redirecting as necessary
  • Update and manage the condominium's databases and filing systems
  • Process and track invoices and payments related to condominium expenses
  • Organise and maintain office supplies, ordering new supplies as needed
  • Assist in the preparation and distribution of newsletters or other communications to residents
  • Perform any other duties that may be required

Work Schedule

  • 40 hours a week spread over Monday to Friday 

Knowledge and Skills Required

  • Be able to communicate clearly and effectively with clients in English
  • Possess assertive communication and charismatic personality  
  • Be detail-oriented and highly organised
  • Be proactive and have a methodical work approach
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • European passport or permission to work in Malta
  • Clean police conduct certificate (must be presented)
