Role Description

General Office Administration:

  • Reception and front office management including couriers both incoming and outgoing
  • Liaising with the company’s selected courier personnel to deliver/collect documents to/from authorities and other corporate partners as needed
  • Maintenance of records including, maintaining internal spreadsheets, paper and electronic filing
  • Handling and record keeping of all committees, meetings, travel, and conferences
  • Handling the booking of training courses for internal staff members, setting the necessary calendar appointments, and logging the training hours in accordance with the company's internal policy
  • Assist Chief Executive Officer and other colleagues with clerical duties for day-to-day activities as needed
  • Manage and keep the archiving system up to date, for all departments, in accordance with the company data-retention policy
  • Responsible for day-to-day office operational requirements such as but not limited to ordering water, and stationery, and liaising with IT support and office service providers. All in accordance with company policies and reporting to management as needed.

Ship Operations:

  • Assistant to our Ship Operations Manager for clerical and administrative duties, as needed.


  • Application for the STCW endorsements and Seaman’s books for officers on board a Malta-flagged vessel with Transport Malta
  • Responsible for record keeping of said applications, monitoring and coordinating with the accounts department and management regarding clientele RFPs.

Mandatory competencies:

  • Be proficient in the use of Microsoft Office, particularly Word and Excel
  • Have strong verbal and written communication skills in English
  • Be accurate and attentive to detail
  • Be well-organised
  • Be capable of working well in a team
  • Be presentable
Competences/experiences that will be considered an asset:
  • Previous experience working in a professional office environment – such as a bank, law firm, CSP and others
  • Experience in ship operations relating to registration of vessels and crew endorsements with Transport Malta
  • In possession of a driving licence
  • Be a resident of Malta.
