ISD Co Ltd in Malta is looking to recruit an Office Administrator to join their team on a full-time basis.
Overall Objectives:
The Office Administrator will be responsible for administering the day-to-day administration processes of the company. Such will require the planning and coordination of the organization whilst motivating the teams to work effectively in their responsibilities to communicate with clients, suppliers, and respective governmental agencies. This role covers general office administrative activities, submission of quotations, and tenders to the coordination of projects execution. The candidate must be keen to learn, organized, self-motivated, and focused on achieving all documentation to submit quotations and tenders as well as support applications and monitor works execution progress of the client’s PV system. Good communication skills are required to meticulously coordinate with both the organization teams, clients, and sales representatives in aiming to achieve a successful quotation submission or/and tender application. Applications must meet requirements and deadlines set by the respective clients and/or authorities
Responsibilities:
Plan and coordinate administrative procedures and systems and devise ways to streamline processes
Handle HR Requirements including recruitment and training
Ensure the smooth and adequate flow of information within the company to facilitate other business operations
Manage schedules and deadlines
Monitor costs and expenses to assist in budget preparation
Oversee facilities services and maintenance activities
Organize and supervise other office activities
Ensure operations adhere to policies and regulations
Keep abreast with all organizational changes and business developments
Compiling government applications and submitting
Preparation and execution of general quotations, commercial project applications, tender, and grant applications
Coordinating, communicating, and following up with government authorities and relevant institutions in the energy sector.
Liaising between clients, suppliers, installers, and sales representatives
Organizing applications and client files.
Requirements:
Excellent Maltese and English communication skills
Microsoft Excel, Microsoft Word, and Microsoft Outlook required
Proven analytical skills and ability to work independently
Ability to communicate effectively at all levels
An analytical hands-on approach to problem-solving.

Ability to interact effectively with a diverse group of people
Ability to set priorities and maintain a functional work environment
