Job Summary:

The primary focus of the Front Office Administrator is to ensure smooth front-office operations while providing essential administrative support to the sales and operations teams. The Front Office Administrator will be the first point of contact for visitors and clients and handling enquiries, ensuring seamless customer service and operational support.  

Duties & Responsibilities

• Greet and assist visitors, clients and vendors in a friendly and professional manner;

• Answer, screen and direct incoming phone calls and emails;

• Support the sales and operations teams with order processing, quotations and customer inquiries;

• Maintain accurate and up-to-date customer records in the ERP system;

• Coordinate with internal departments and customers to ensure timely delivery of products and services;

• Prepare and send invoices, purchase orders and sales reports as needed; 

• Assist with follow-ups on customer orders, payments and account status;

• Manage office supplies and coordinate internally for replenishment;

• Schedule and organize meetings, appointments and any other arrangements; 

• Assist with administrative tasks and projects as assigned;

• Any other duties in line with the scope of the position;

Skills, Qualifications & Attributes:

• Previous experience in a receptionist, sales administration or customer service role;

• Strong verbal and written communication skills;

• A proactive and customer-oriented approach.
