Hilton Malta is currently looking to recruit a Front Office Administrator to join their team on a full-time basis.
Job Role:
Under the direction of the Front Office Manager, the Front Office Administrator will operate and ensure the smooth administration of the back-of-house operations for the Front Office department. The candidate will have an indirect reporting line to the Director of Finance for all matters pertaining to the Finance Department.
Responsibilities:
Payroll tasks, such as filing of Time & Attendance and resolution of discrepancies
Guest correspondence
Room allocation for VIPs and groups
Liaising with Telephone Operator
Keeping Front Office areas organised and tidyActively responsible for the follow-up and closure of Pay Master accounts
Supervision of Front office Journals
Group operations – responsible for all the updates/changes on Rooming lists of in-house groups; billing instructions and room group billing reconciliations
Ensure correct backup is attached to all relevant closed bills to City Ledger. (from PMS to Accounting)
Monitoring of credit limit check reports
Participating in monthly credit meetings
Attending and participating in pre-conference meetings when necessary
Receiving and implementing instructions and information in regard to groups
Corporate guests, VIPs
Correct communication and implementation of new selling strategies as instructed by the Director of Sales and Front Office Manager.
Requirements:
Front Office experience / Accounting experience (Accounts Receivable) within a 4-5-star environment is considered an asset
Knowledge of Hotel PMS – preferably Opera and also proficient in the use of Excel and Outlook
Has an eye for detail and is of smart appearance
Well-organised individual, able to work independently and flexible to learn and perform different tasks and duties
Speak English and at least one other language
Able to establish strong working relations internally and with our customers – possess good communication skills
Be a strong team player and thrives working in a fast-paced environment, able to work well under pressure and adhere to deadlines
