Australian High Commission Malta (Department Of Foreign Affairs & Trade) are looking to recruit a Corporate Services Officer to join their team on a part-time basis.

About the position
Under general direction, the Corporate Services Officer manages financial services including payments, VAT returns, end-of-month and payroll assists with budget preparation and provides general administrative support across a range of human resource and other corporate services in conjunction with the Regional Services Delivery Hub in London. The officer also provides backup support to the Consular and Passports Officer.

The key responsibilities of this position include, but are not limited to:

  • Under limited supervision, undertake financial tasks, including processing and paying invoices and staff salaries/entitlements, annual budget preparation, VAT returns, and responding to enquiries from staff and suppliers.
  • Undertake reception duties, including greeting visitors, taking telephone enquiries and providing client services to the public.
  • Assist with passport services as required, including processing passport applications in accordance with the Australian Passport Act.
  • Administer HR processes according to departmental guidelines and local labour law requirements, including overseeing the onboarding and departure processes for Locally Engaged Staff and Australian-based officers.
  • Assist with project administration for Direct Aid Programme.
  • Assist with the provision of consular, and notarial services to Australian citizens in Malta as required, in accordance with departmental guidelines.
  • Provide administrative support and backup support as required.
  • Assist with official functions, visits and events as required.


  • Right to live and work in Malta.
  • Fluency in English.
  • Demonstrated experience in finance, payroll, administration and/or client service roles.
  • Strong organisational skills, attention to detail and the ability to work under pressure and manage priorities with limited supervision.
  • Strong interpersonal skills and the ability to build productive working relationships.
  • Demonstrated ability to provide accurate and timely research, with a demonstrated ability to set priorities, show initiative, exercise sound judgement, meet tight deadlines and achieve results.
  • Proficiency and experience with Microsoft Office programs, including Word and Excel.
  • Experience with the SAP finance system is desirable.
  • Proficiency in Maltese, French and/or Arabic is desirable.
