Job vacancy: Administrative Assistant within Investment Services Supervision in Grade 9

About Investment Services Supervision:
The Investment Services Supervision Function is responsible for the authorization and supervision of investment services license holders, collective investment schemes, and their service providers namely fund managers, fund administrators, and custodians.

The Role:
As Administrative Assistant, you will be reporting to the Head of Function or to any other person the Head may delegate for the purpose of assigning duties and responsibilities as applicable from time to time.

Your duties will involve:
  • Handling the general office duties which mainly include secretarial and other support duties depending on the exigencies of the Function and the authorization team;
  • Handling of incoming and outgoing mail;
  • Handling and re-directing of telephone calls; booking of meeting rooms;
  • Filing and record keeping of databases; updating of relevant websites;
  • assisting in the due diligence process and handling of Personal Questionnaires;
  • Processing of passporting notifications;
  • Issuing letters of appointment, letters to compliance officers, and money laundering reporting officers;
  • Diary management;
  • Assist in the general reception duties of the MFSA;
  • Other ad-hoc duties as may be required by senior management of the Function from time to time.

About You:
The role calls for a comparable academic qualification at National Qualification Framework Level 5 or better, duly certified by the Malta Qualifications Recognition Information Centre (MQRIC), or a widely recognized professional qualification at a comparable level.

If you do not have the necessary academic or professional qualifications but you have at least three (3) years of working experience in a similar environment, we would still be interested in speaking with you. Candidates with longer working experience relevant to the role will be preferred.

Competence in MS Excel techniques and experience in a quantitative environment will be considered an asset. Candidates with proven work experience within the financial services industry will be preferred.
