Our client who specializes in the medical device industry is looking for an Administration Coordinator. While reporting to the CEO & COO, your roles and responsibilities will include:
Organization of weekly Patent Meetings and acting as Secretary, responsible for drafting meeting minutes
Uploading of all relevant documentation to the appropriate drives/servers
Establish and maintains office files, logs, indexes, control records or other information concerning the patent portfolio.
Supports invoice approval process
Assisting in cost control function
Enters retrieves, updates, verifies and deletes information from electronic files
Assists in the preparation of legal documents both with internal staff and external consultants
Receiving, uploading and monitoring reports to internal servers/systems, to identify and address stock/logistical issues.
Assists in the purchasing process by adequate maintenance of the PO log
Assists in product stock-takes.
Assists the COO in the liaison with the Malta Business Registry and other external entities as may be required.
Acts as PA by supporting the COO on any work-related matters as may be required.
Skill-sets and Requirements
Previous experience in administration or a similar post is a must
Proven work experience in a Medical or Scientific field will be considered an asset
Education & Experience
Candidates must possess an A’Level standard of education, ideally STEM related
