Our client who specializes in the medical device industry is looking for an Administration Coordinator. While reporting to the CEO & COO, your roles and responsibilities will include: 

  • Organization of weekly Patent Meetings and acting as Secretary, responsible for drafting meeting minutes
  •  Uploading of all relevant documentation to the appropriate drives/servers 
  • Establish and maintains office files, logs, indexes, control records or other information concerning the patent portfolio.
  • Supports invoice approval process
  • Assisting in cost control function
  • Enters retrieves, updates, verifies and deletes information from electronic files
  • Assists in the preparation of legal documents both with internal staff and external consultants
  • Receiving, uploading and monitoring reports to internal servers/systems, to identify and address stock/logistical issues.
  • Assists in the purchasing process by adequate maintenance of the PO log
  • Assists in product stock-takes.
  • Assists the COO in the liaison with the Malta Business Registry and other external entities as may be required.
  • Acts as PA by supporting the COO on any work-related matters as may be required.
Skill-sets and Requirements
  • Previous experience in administration or a similar post is a must
  • Proven work experience in a Medical or Scientific field will be considered an asset
Education & Experience
  • Candidates must possess an A’Level standard of education, ideally STEM related
