Job Title: Receptionist & Accounts Clerk

Location: Qormi, Malta

Reports To: Company Directors

Job Overview:

We are seeking a professional, organized, and proactive Receptionist & Customer Care Representative to be the first point of contact for our clients, both in person and over the phone. The role involves managing day-to-day reception duties, providing outstanding customer service, supporting directors with administrative and light accounting tasks, and ensuring timely follow-up and resolution of all client requests.

Key Responsibilities:

  • Greet and assist walk-in clients in a professional and welcoming manner
  • Handle all incoming and outgoing phone calls; log and track each call and request to ensure completion by end of day
  • Respond to client queries via phone, email, or in person and ensure appropriate follow-up is carried out
  • Collect and follow up with clients to obtain necessary documentation for government rebate applications
  • Assist company directors with day-to-day administrative tasks as needed
  • Support basic accounting duties such as issuing receipts, collecting payments, and maintaining accurate records
  • Sort and distribute incoming post; prepare outgoing mail and packages
  • Maintain and organize office files, ensuring all records are updated and stored securely
  • Maintain a tidy and organized reception area
  • Handle general office support duties and any other tasks as required

Key Requirements:

  • Proven experience in a receptionist, customer care, or administrative support role
  • Excellent verbal and written communication skills in English and Maltese
  • Strong organizational and time management skills
  • Ability to multitask and work efficiently in a fast-paced environment
  • Confident, courteous, and professional demeanor
  • Proficient in Microsoft Office (Word, Excel, Outlook) and general computer literacy
  • Prior experience in handling client documentation for government schemes or rebate processes is an asset
  • Experience in basic accounting tasks is required; ideally, candidates should have prior experience in the accounting or financial services sector
