As we continue to expand, we’re looking for a detail-oriented and proactive Office Administrator to support our day-to-day operations.
Position Summary:
The Office Administrator will be the heartbeat of our office, ensuring the smooth functioning of administrative processes and supporting the property management team. This role is ideal for someone who thrives in a fast-paced environment, is exceptionally organized, and enjoys working with a team to achieve goals.
Key Responsibilities:
Oversee daily office operations, ensuring efficiency and productivity
Manage incoming calls, emails, and correspondence
Maintain organized and up-to-date filing systems (physical and digital)
Assist with tenant and client communications, including lease documentation and service requests
Schedule appointments, meetings, and property inspections
Support accounting functions such as invoicing, rent collection tracking, and petty cash reconciliation
Order and manage office supplies and equipment
Liaise with vendors, contractors, and service providers as needed
Prepare reports, memos, and other documents for management
Provide general administrative support to the property management team
Requirements:
Proven experience as an office administrator, administrative assistant, or similar role
Strong organizational and multitasking skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and property management software (preferred)
Excellent written and verbal communication skills
Ability to work independently and as part of a team
High level of discretion and professionalism
Familiarity with property management practices is a plus
Education and Experience:
High school diploma or equivalent required; associate or bachelor’s degree in business administration or related field preferred
