WD Resources (Malta) Limited is looking to recruit an HR & Payroll Administrator to join their team on a full-time basis. The ideal candidate will ensure payrolls are processed accurately, invoices raised and payments made to employees with timeliness and security in accordance with the client Service Level Agreement. Assisting in providing an efficient HR and Payroll service to clients of WD Resources (Malta) and where appropriate the WD Resources Group.


Key accountabilities:

  • Data inputting and reconciliation of payrolls;
  • Liaise with Clients and employees;
  • Liaise with relevant authorities;
  • Ensure payroll year –ends are processed accurately and on time;
  • Assist with all telephone inquiries in an efficient manner;
  • Administrative duties including keeping all filing up to date for complete records;
  • Continually update and improve work instructions/procedures;
  • Produce and process all relevant employment documents;
  • Ensure that contracts of Employment and all other letters relating to employment are sent to employees within agreed timeframes, as per the client Service Level Agreements;
  • Monitor and record as appropriate the return of signed documents, contracts;
  • Raising and processing invoices according to standard procedures;
  • Liaise with clients to ensure timely receipt of funds and payment of payroll liabilities;
  • Produce payments reports for all salary payments/liabilities, to be directly uploaded to the bank;
  • Monitoring of cash balances and funds received, including returned payments, taking appropriate action as required;
  • Reconciling bank statements;
  • Entering transactions into the general ledger;
  • Understanding of the overall objectives and all roles within the Company;
  • Willingness and ability to assist other departments and Companies within the Group.

Personal Criteria (Qualifications skills and knowledge):

  • Either payroll or book-keeping accounting experience;
  • A willingness to undergo professional development and training;
  • Experience in general office administration;
  • Basic understanding of pensions;
  • Ability to deal with inquiries;
  • Good telephone manner;
  • Knowledge of IT systems used for managing/operating computerised payroll and benefits systems;
  • Good understanding of Word, Excel;
  • Ability and commitment to investigate and follow through with an issue until it is resolved;
  • Organisation and time management skills to enable you to prioritise workload;
  • Attention to detail and accurate data entry;
  • Good communication skills;
  • Team player;
  • Ability to work on own initiative;
  • Knowledge of UK tax and NI;
  • Keenness to develop high standards and maintain levels of customer service.
