Administrative & Clerical


  • Scheduling of committee meetings
  • Creating agendas for upcoming meetings and distributing them to all members
  • Coordinating with officers and ensuring that all documentation to be used during meetings is made available within stipulated time-frames
  • Keeping record of all meetings held and cases discussed
  • Taking of adequate and detailed minutes of all meetings
  • The up keep of both soft and hard copy files of past meeting minutes and all relevant documentation
  • Carrying out any other duties that may be assigned by the Director

Education and experience

  • A qualification in secretarial work, or any other relevant subject
  • A minimum of 3 years experience in secretarial work
  • Experience in the scheduling and management of meetings, and in minute taking are a must


  • Excellent written and verbal communication skills in Maltese and English
  • Proficiency in the use of MS Word and Excel
