Within this Administrative Assistant role, you will be forming part of the company’s Department of Operations. Your main duties will include:

  • Provide administrative, secretarial and logistics support 
  • Organise meetings, conferences, workshops - including the preparation of invitation letters, participants lists, the procurement of venues and catering as well as preparation of meeting documentation, tools and folders for participants and provide support with reimbursement of participants to meetings.
  • Provide support in the drafting of administrative files and basic statistics, preparation of minutes, presentations and other files
  • Manage functional mailboxes and/or calendars for the unit and communicate with external stakeholders on administrative matters
  • Provide support with mission preparation for staff members including mission claims and reimbursement 
  • Support the processing of workflows (financial / HR / Procurement, etc.) 
  • Perform tasks related to document management and archival of documents

Education and Experience 

  • Post Secondary Education attested by a Diploma or equivalent 
  • Minimum of 1- year appropriate professional experience in an administrative function or equivalent 


  • Excellent command of written and spoken English
  • Ability to use electronic equipment and applications
  • Excellent organisation and time management skills
  • Strong pro-active and reliable attitude
  • Good sense of confidentiality, integrity and discretion
  • Proficiency in Excel is an advantage
