Office Executive - Malta

In this position of a Office Executive you will be responsible to provide secretarial and administrative support in a well-organized and timely manner.


  • You will be required to manage diaries of the partners and schedule meetings & appointments
  • Meeting and greeting clients ,booking meetings  and arranging couriers
  • Answering and forwarding phone calls, along with maintaining up-to-date customer contact information
  • Debt collection  and the billing  of clients
  • May be required to support other queues to facilitate teamwork in the department such as other Basic accounting duties (issuing bills, if required)
  • Managing CVs received
  • Other secretarial duties such as typing letters, chasing clients for pickup/signature of documents etc
  • Review and update on a regular basis the staff contact and telephone extension list  
  • Keep a record of staff and visitors signing in and out of the building

Skills & Education

  • You will show both discretion and confidentiality
  • You will have an A’ level or higher
  • Proven work experience within a similar role
  • Knowledge of MS Office
  • Some accounting knowledge would be considered an asset
  • Outstanding organisational and time management skills
  • Ability to multitask and prioritize daily workload
  • Good verbal and written communications skills
  • Self-motivated, dependable, adaptable;
  • Ability to work well under pressure, along with the ability to prioritize tasks and work well as part of a team
  • Outstanding fluency in both written & spoken English and Maltese
  • Drivers licence and own vehicle
  • Candidates must be currently living in Malta
