Job Description

Farrugia & Farrugia Notaries in Malta is currently looking to recruit an Office Administrator / Personal Assistant to the Notary, to join their team on a full-time basis. Interested candidates Must be fluent in Maltese and English languages.

Responsibilities

  • Screening telephone calls, inquiries, and requests, while handling them when appropriate, and welcoming the office’s clients
  • Liaising with clients and other staff
  • Organizing and maintaining the Notary’s diary, and appointments, and confirming the available time for direct reports on a daily/weekly basis as needed
  • Dealing with correspondence, writing emails/letters, and corporate documentation and delegating work where relevant, highlighting any items for the Notary’s immediate attention
  • Dealing with government departments, submission and registering of contracts

Skill-sets and Requirements

  • An effective planner with proven time management skills and attention to detail
  • An understanding of confidentiality issues and the use of discretion
  • Comprehensive capabilities in Microsoft Office, especially Excel and Word

Education and Experience

  • Must be fluent in Maltese and English language
  • Strong administrative and Personal Assistant skills with an ability to work well in a fast-paced environment
  • Previous experience in a Notarial / Legal environment will be a plus
