Our client is looking to appoint an Executive Assistant to efficiently support the Director, within the Property Management and Property Development projects.
The chosen candidate will:
Manage all business administration for the estate, including the organisation of documentation; prepare for meetings and take minutes; conduct research, reports, proposals, agreements and presentations.
Maintain all upkeep and follow-ups of contracts, basic bookkeeping, filing, retrieving corporate records, and documents.
Be involved in all aspects of the business, as and when required.
Prepare, process and sort sensitive information, whilst ensuring that confidentiality is maintained.
Handle all emails, phone calls, calendar appointments and schedule, and make travel arrangements.
Support the Director to prepare for conferences, and assist with event planning.
Maintain and update filing, inventory, mailing, and database systems.
Take a lead role in general administrative activities, and perform office duties that include ordering and managing supplies, maintaining a records database.
Assist in conducting Financial reports and budgets.
Supporting the Operations Team when needed by managing ad-hoc requests.
Conduct work meticulously, maintain the highest level of professionalism and confidentiality.
Skill-sets and Requirements
A strong background of Personal or Executive Assistance experience
Must be able to prioritize and work independently
Must have excellent organisational and time management skills
Must carry a problem solving attitude, be able to multitask and have attention to detail
Must hold a high degree of confidentiality and discretion
Education & Experience
Proficiency in Microsoft Office, Excel and Powerpoint
Excellent verbal and written communication skills in both Maltese and English
